GENERAL POLICIES, PROCEDURES & GUIDELINES
I acknowledge that, in the course of performing my volunteer duties, I may have access to information that may be confidential. I will observe and comply with The Edge School of Performing Arts (The Edge Performing Arts Inc.) rules and regulations respecting confidentiality policy. I will not disclose or give to any person or source any information or document that comes to my knowledge or into my possession by reason of my service to The Edge School of Performing Arts (The Edge Performing Arts Inc.). This duty to protect confidential information extends beyond the termination of my association with the The Edge School of Performing Arts (The Edge Performing Arts Inc.).
There are three areas with confidentiality concerns: working along side dancers; communication with students; and record keeping and disclosure.
The practices set out below will help you to reasonably protect privacy, consistent with The Edge School of Performing Arts (The Edge Performing Arts Inc.). If you become aware of a privacy breach/issue, immediately contact the The Edge School of Performing Arts (The Edge Performing Arts Inc.) by email info@TheEdgePA.ca
Working Alongside dancers
Do This: Best Practices
- keep physical distancing protocols no contact, no holding hands, no lifting, no hugs
- treat everyone equally
- encourage students to help them achieve and believe in themselves
- lead by example
- take time to explain the task, the reason, the results
Don’t Do This: What to Avoid
- don’t favour one student
- don’t allow students to be with the same group, help them meet new friends
- don’t allow anyone to be negative
Devices
Do This: Best Practices
- Device should be only used during breaks or personal time
Don’t Do This: What to Avoid
- don’t carry photo device around/constantly checking smart watch. Devices should be kept with your belongings/smart watches notifications turned off
Taking Student Attendance
Do This: Best Practices
- inform students at the start of the day how personal information, including attendance, will be collected: start the lesson in a circle, ask student to say here when they hear their name called.
- Student information should not be visible to others when collecting attendance, take attendance yourself (e.g., calling roll is proper practice)
Don’t Do This: What to Avoid
- don’t take attendance by passing around a sheet where students record their full names
- don’t get students to write their student names
- don’t allow class lists with personal information to circulate
Email Correspondence With and About Students
Do This: Best Practices
- advise students at the start of the course what email practices you will follow: tell your students that correspondence is with students parents only through The Edge Admin Team Customer Support
Don’t Do This: What to Avoid
- don’t ask students to share their contact information (email addresses and content)
- don’t connect student to persons not involved in the course
- don’t communicate with students via social media etc.
Disclosure of Student Information
Do This: Best Practices
- emergencies, health and safety trump
- privacy personal information can be shared within The Edge School of Performing Arts (The Edge Performing Arts Inc.) on a need-to-know basis and/or with a student’s consent
Don’t Do This: What to Avoid
- don’t disclose student information unless there is a need to do so
